01Where they started

The challenge.

The company recorded tasks, client visits, and hours by hand in Excel. This created recurring problems for several teams:

  • Supervisors could not check current task progress.
  • Reporting mistakes caused delays and miscommunication.
  • Payroll staff received incomplete or inaccurate time entries.
  • Clients received service summaries with inconsistent information.

Technicians, managers, and clients all spent time resolving the resulting confusion.

What the Workflow Review Found

The review identified gaps in scheduling, service records, and payroll verification:

  • Assignments were entered manually, with no shared view of availability across teams.
  • Technicians had no common format for documenting the services they provided.
  • Billable hours were not verified against payroll records, affecting compensation accuracy.

A custom admin panel connected the tasks that supervisors and technicians used to manage separately:

  • Supervisors could assign or reassign visits from a scheduling dashboard showing availability and location.
  • Technicians used a common report format to record services, hours, and client feedback.
  • The timesheet module recorded billable time as work happened and flagged unusual entries.

The connected modules reduced duplicate entry and made service and payroll records consistent. A shared data layer supplied real-time updates to the people using each part of the system.
